🪄 AI Glossary Suggestions: build your Glossary automatically
Most teams know a Glossary would help, but never get around to building one — writing out your terminology from a blank page is slow, and it's hard to know where to start.
AI Glossary Suggestions removes that first hurdle. Redokun analyses each document you upload and proposes terms from your own content — product names, technical vocabulary, brand-specific expressions — for you to review and approve.

🔍 How it works
- You upload a document as usual.
- Redokun analyses its content in the background and picks out terms that look worth standardising.
- Next time you open the document in the Web Editor, you're shown what it found.
- You edit, remove, and approve. Approved terms go into your Glossary.
A few things worth knowing:
- Analysis runs after your upload completes, so it doesn't add a step or slow the upload down.
- Redokun suggests a maximum of 15 terms per document, to keep the list reviewable.
- Terms already in your Glossary are filtered out — you only see new ones.
- Each suggestion comes with a proposed translation.
✅ Review and approve suggestions
- Open the document in the Web Editor. If suggestions are ready, a window opens with the terms Redokun found.
- Each row shows:
- the source term
- a suggested translation, which you can edit
- a field for an optional note
- Edit any translation that isn't right.
- Remove any term you don't want to add.
- Click "Add [] new terms" to save.
Approved terms join your Glossary immediately and behave like any other entry — underlined in the source text, checked against your translations, and passed to the AI as preferred terminology.
❗ Nothing is saved until you click "Add [X] new terms". If you close the window without confirming, your edits and removals are discarded and the terms stay pending for next time.

⏳ If suggestions aren't ready yet
Analysis takes a moment. If you open the Web Editor before it's finished, nothing appears at first — a badge shows up once the suggestions are ready.
🔁 If you dismiss the window
Dismissing doesn't discard anything. A button stays visible on the page so you can reopen the suggestions whenever you like.
The window will also reappear each time you open the document, until you've resolved every term — approving the ones you want and removing the rest. Once nothing is pending, the window stops appearing and the button disappears.
✅ Tip: There's no deadline. If you're mid-translation and don't want the interruption, dismiss it and come back later.

🚫 When you won't see suggestions
Nothing will appear if:
- Redokun found no new terms in the document
- Every term it found is already in your Glossary
- The target language isn't supported
- ChatGPT functionalities are switched off for your account (see below)
👥 Who can review suggestions
Team Owners, Managers, and Translators all see AI Glossary Suggestions.
Translators without Glossary edit access can see the suggested terms but can't edit, remove, or approve them. They'll see a message asking them to request edit access.
To grant edit access: go to Settings > Translators, find the translator, and set Edit access in the TM and Glossary column. Only Managers and the Team Owner can change this.

⚙️ Turning AI Glossary Suggestions off
AI Glossary Suggestions run on Redokun's OpenAI (ChatGPT) integration, so they're controlled by the same setting.
To switch them off:
- Log in with the Team Owner (admin) account.
- Click your name in the top-right corner and select Settings.
- Go to Advanced.
- Under AI Features, deactivate OpenAI (ChatGPT) functionalities.
❗ Only the Team Owner can change this. Managers and Translators don't have access to this setting.
⚠️ This is a single switch covering everything ChatGPT-powered. Turning it off also disables ChatGPT for Pre-Translate and AI Fine-Tuning. There's currently no way to keep one and switch off the other.

💡 Tips for getting the most out of it
- Review suggestions early. Approving terms before translation starts means they're in place for everyone working on the document.
- Don't feel obliged to keep everything. Removing irrelevant suggestions is part of the process, and a focused Glossary is more useful than a large one.
- Check the translation, not just the term. The source term may be right while the proposed translation isn't — you can edit it before approving.
- Add notes for anything ambiguous. A short note saves the next translator from guessing.
- Terms that shouldn't be translated (brand names, product names) can be approved with the translation matching the source.
