🔍 Monitoring projects: use filters in your Document List

This guide explains how to use filters and saved views in Redokun to quickly find and organize your documents.


🎯 Why Use Filters?

Filters help you narrow down your Document List based on specific criteria, making it easier to manage large numbers of projects or collaborate with a team.

You can filter documents by:

  • Uploader: View documents uploaded by a specific team member.
  • Translator: Find documents assigned to a particular translator.
  • Target Language: Display documents that include certain target languages.
  • Status: Filter based on translation status (e.g., confirmed, in progress).

As you apply filters, the Document List updates in real time to show only the documents that match your criteria.


🛠️ How to Apply Filters

  1. Navigate to your Document List.
  2. Click on the Filters button at the top of the list.
  3. Use the dropdown menus to select your desired filter criteria.
  4. To remove a specific filter, click the Clear filter button within that filter's dropdown.
  5. To remove all filters at once, click Clear filters at the top.


📂 Saving a Filtered View (Manager Role Only)

If you frequently use the same set of filters, you can save them as a custom view for quick access.

🔐 Only users with a Manager role can save and manage views.

To save a filtered view:

  1. Apply one or more filters using the dropdowns.
  2. Click the Save view button next to the Filters button.
  3. Enter a name for your view and confirm to save it.
  4. (Optional) Choose to save the view with all rows expanded.

Once saved, your view appears in the View dropdown. You can return to it anytime with a single click, without needing to reapply the filters manually.


📂 Managing Saved Views

To manage your saved views:

  1. Click on the View dropdown.
  2. Select Manage views.
  3. From here, you can:
    • Rename a view (from the three-dots menu).
    • Delete a view (from the three-dots menu).
    • Set a default view by clicking the star icon next to it.


⭐ Setting a Default View

You can choose a default saved view so it loads automatically every time you open your Document List.

  • To set a default, click the star icon next to the view name in the Manage views menu.
  • To go back to the standard view, simply remove the star from the selected view.


👥 Who Can Use Saved Views?

  • Managers: Can create, edit, and delete saved views.
  • Translators: Can access and use saved views created by Managers but cannot create or modify them.

💡 Tips for Using Filters and Views

  • Use filters to focus on specific projects, languages, or team members.
  • Save commonly used filter combinations as views for quick access.
  • Set a default view to streamline your workflow each time you access the Document List.
