How to reduce the size of a DOCX file?

If you cannot upload a Word file because its size exceeds the upload limit, you can follow the instructions below to reduce the file size.

Here are the three things you can do:

  • Compress pictures in your presentation;
  • Delete image editing data and lower the default resolution;
  • Reduce the character set of embedded fonts.

Compress pictures in your presentation

  1. Select a random picture in your document. The Picture Format tab will appear.
  2. On the Picture Format tab, under the Adjust group, select Compress Pictures.
  3. Under Compression options:
    • Make sure that Apply only to this picture is NOT selected.
    • Select Delete cropped areas of pictures.
    • Select Use default resolution under Resolution.
  4. Click Ok.

Delete image editing data and lower default resolution

  1. Go to File > Options > Advanced.
  2. Under Image Size and Quality:
    • Select Discard editing data.
    • Make sure that Do not compress images in file is NOT selected.
    • In Default resolution, select 150ppi or a lower value.

Reduce the character set of embedded fonts

  1. Go to File > Options > Save.
  2. Under Preserve fidelity when sharing this presentation:
    • Select Embed fonts in the file,
    • Then select Embed only the characters used in the presentation.

    ⚠️ If you want others to edit the presentation, select  Embed all characters.
